Key takeaways

  • View and print in MYOB Business shows a report as a PDF on a new browser tab, ready to print or save.
  • Most MYOB reports let you choose the period they cover, and some have a Customise button for adding, removing and reordering columns.
  • A custom report can be kept to yourself or shared with all users, and is found again under Custom reports on the Reporting menu.

Before you start

Settle what the printout needs to show. You can't create a report from scratch in MYOB, but you can reshape an existing one: change the period, filter what appears, and add, remove or reorder columns. Each report has filters that suit its contents, so the Customer sales report lets you choose which customers to include, and the Profit and loss report can compare your figures with last year's.

Decide whether the printed copy should carry your branding. PDF style templates add images, headers and footers or a watermark to PDF reports. You pick one in the PDF export options when you export a report as a PDF.

If you'll print the same layout regularly, plan to save it as a custom report once it looks right, which is how MYOB keeps a customised report.

Steps

  1. Open the report you want to print.
  2. Choose the reporting period, or the date range, the report should cover.
  3. Use the report's own filters to narrow what it shows.
  4. For more choices, click Report options. These include whether negative numbers appear in brackets or with a minus sign, and, on business reports like the Profit and loss, the account levels and accounting method.
  5. If the report has a Customise button, click it. Add a column from the dropdown arrow, remove one with its delete icon, or drag the dots beside a column to move it, then click Apply.
  6. Click View and print. The report opens as a PDF on a new browser tab.
  7. Print the PDF from that tab, or save it if you'd like a copy too.

Note

For a printout with your PDF style template, go to the Export menu instead and choose PDF. In the PDF export options, pick the template, or Default, and click Export. The PDF appears on a new browser tab to view, print or download, and it includes the filters and column changes you made.

What changes afterwards

To keep a layout you've set up, click Save as on the report. Give it a name and, if you like, a Description, choose whether it's just for you or for all users, and select the option to make it available in your other MYOB businesses if you want that. Click Save.

The saved layout then lives under Custom reports on the Reporting menu. The ellipsis button next to each one offers Duplicate, which adds a copy with "- copy" on the end of its name, Edit permissions to change its details, and Delete. Duplicating and deleting both ask you to confirm.

If it doesn't work

Can't find the filter you want? Filters differ from report to report, because each is based on the information in that report, and business reports such as the Profit and loss tend to offer more under Report options. For changes MYOB's report settings can't make, export the report to Excel and make them there.

If you use AccountRight on the desktop, display the report and click the Print Preview tab. Set the margins, page orientation and paper size, use the Scale field or Shrink One Page to fit it, check it with the Preview tools, then click Print on the File menu. Send on that menu emails the report as a PDF, Excel or XPS file, and Save as keeps your formatting as a custom report in the My Custom Reports tab of the Index to Reports window. To print account numbers there, add the Account No. column with Show/Hide on the Insert/Modify tab. If one printer won't print, MYOB suggests updating its driver, or saving the report as a PDF and printing that.
