How to delete a vendor in QuickBooks

You can't delete a vendor in QuickBooks Online, which calls vendors suppliers. Instead you make the supplier inactive from the Suppliers list, a change Intuit describes as permanent, or in some situations merge the record with another.

Key takeaways

  • Intuit says a supplier, the name QuickBooks Online in Australia gives a vendor, can't be deleted at this time.
  • Making a supplier inactive is done from the Action column of the Suppliers list, or from the dropdown beside Edit on the supplier's own page.
  • Intuit describes an inactive supplier as permanently inactive, and says merging is the better choice in some situations.

Before you start

Know what's on offer. Intuit says a supplier can't be deleted at this time. What QuickBooks gives you is Make inactive, and the supplier's record stays in QuickBooks.

Be sure inactive is what you want. Intuit calls the change permanent. That makes it a fit for a supplier you've finished dealing with, not one you've only paused.

Ask whether a merge would suit better. Both articles suggest weighing up a merge before making a supplier inactive, and one says it's the better route in some situations. A typical case is a supplier who appears twice: Intuit's add-a-supplier help links to its guidance on merging duplicates, which is a separate process from the steps here.

Steps

  1. Go to All apps, select Expenses & Bills, then select Suppliers.
  2. Find the supplier you want to make inactive.
  3. In the Action column, select the dropdown next to that supplier, then select Make inactive.
  4. When QuickBooks asks you to confirm, select Yes, make inactive.

Note

If Make inactive isn't in the dropdown, select the supplier's name to open their record. Then select the dropdown beside Edit and choose Make inactive from there.

What changes afterwards

The supplier is now inactive rather than gone. That's as close as QuickBooks Online comes to deleting one, and Intuit describes it as permanent, so treat the change as one way.

Intuit's add-a-supplier article gives the same task in brief: on the Suppliers page, choose Make inactive from the dropdown beside the supplier. Either route ends in the same place.

If it doesn't work

Intuit says QuickBooks Online can't delete suppliers at this time, so make the supplier inactive instead. If the Action column doesn't offer Make inactive, use the supplier's own page and the dropdown next to Edit, as in the note above. And if the record you want gone duplicates another one, look at merging, the alternative both articles mention.
