How to send remittance advice in QuickBooks

To send remittance advice in QuickBooks Online, open the supplier under Expenses & Bills, tick the bill payment, select Send remittance, check the message and select Send. It's available for bill payments only, and it goes to the email address that was on file when the payment was made.

Key takeaways

  • Remittance advice is a document that confirms a payment to a supplier and lists the bills it covers.
  • QuickBooks Online sends remittance advice for bill payment transactions only.
  • The advice uses the email address held when the bill payment was created, so reaching a different address means deleting the bill payment and recording it again with that address.

Before you start

The advice is sent from a bill payment, so record that first. Bill payments are made on the Pay bills screen, which you reach from Expenses & Pay Bills on the Dashboard: pick the payment account and date, tick the bills and save.

Get the supplier's email right before you pay. QuickBooks takes the address from the supplier's details as they stood when the bill payment was created, and the advice follows that address. If it has to go somewhere else afterwards, Intuit's answer is to delete the bill payment and create it again once the supplier's email is updated.

Decide whether the standard message is enough. You can edit the message body or add information to it before the advice goes out.

Steps

  1. Go to All apps, select Expenses & Bills, then select Suppliers.
  2. Select the supplier you paid.
  3. Find the bill payment among the supplier's transactions. If it isn't listed, add filters until it shows.
  4. Tick the box beside the bill payment.
  5. Select Send remittance.
  6. Read through the message body, and edit it or add to it if you need to.
  7. Select Send.

Note

If the supplier has no email address in QuickBooks, you're asked for one when you send. Tick Save email addresses for future use to keep it on the supplier's contact card.

What changes afterwards

The supplier gets an email confirming they've been paid and showing which of their bills the payment covers. The bill payment itself stays as you recorded it in Pay bills; the advice is a confirmation of it.

If you typed in a new address at the prompt and ticked the save box, it's now on the supplier's contact card, ready for their next bill payment.

Sent it to an old address? Fixing the supplier's details won't redirect an advice for a payment that already exists. Delete the bill payment, record it again through Pay bills with the updated email in place, and then send the advice from the new payment.

If it doesn't work

Can't see the payment on the supplier's page? Apply more filters first. Then check what kind of transaction it is: an expense, a cheque or any other payment that wasn't recorded as a bill payment can't carry remittance advice.

If the payment you're looking for has been voided, the Audit log can confirm it. Go to Settings ⚙, select Audit log, narrow it with the User, Date Changed or Events dropdown, and check the History column for when the payment was voided and why.
