How to undo a reconciliation in QuickBooks

In QuickBooks Online you undo a reconciliation one transaction at a time: open the account's history from the Chart of accounts, select the R in the tick column until the box is blank, and save. Undoing a full reconciliation for a period is a job Intuit leaves to your accountant, and it suggests simpler fixes to try first.

Key takeaways

  • Unreconciling changes a transaction's status from reconciled to uncleared without undoing the rest of the reconciliation it was part of.
  • Removing a cleared transaction from a reconciliation changes the beginning balance that the account's next reconciliation starts from.
  • A reconciliation still in progress can be reset by clearing its ticks or closed without saving, so nothing already completed has to be undone.

Before you start

Ask first whether anything needs undoing at all. Intuit's alternatives cover the usual reasons people reach for an undo. When the beginning balance on your statement doesn't agree with QuickBooks, the answer is to correct that beginning balance, not to delete or undo the reconciliation. When you're part way through and the difference between your bank and your books won't come to zero, you can reset your ticks or start the session again, as the note under the steps explains.

If one transaction really was cleared by mistake, confirm it's the cause of the discrepancy before you touch it. Taking a cleared transaction out shifts the beginning balance of your next reconciliation on that account, so removing the wrong one only creates a fresh problem.

Unreconciling works on the transactions you pick and nothing else. Undoing a complete reconciliation in one go is restricted, and Intuit's advice for that is to consult your accountant.

Steps

  1. Go to All apps, select Accounting, then select Chart of accounts.
  2. Find the account the transaction belongs to and select Account history.
  3. Locate the transaction in the list. A reconciled one has an R in the tick column.
  4. Select the transaction so its row expands.
  5. Select the box with the R in it, and keep selecting it until it's empty. Each selection moves the status along, and an empty box means uncleared.
  6. Select Save, then select Yes to confirm.
  7. Reconcile the account again, this time with the transaction treated correctly.

Note

Still in a reconciliation session? To start your selections over, use the Filter icon so transactions after the statement ending date are hidden (that's the default, so it may be set already), then select the checkbox at the top of the checkbox column until every tick is gone. If you've been working from the wrong bank statement, open the dropdown arrow beside Save for later, choose Close without saving and confirm, then pick the correct account and enter that statement's details.

What changes afterwards

The transaction now shows as uncleared in the account history, while the reconciliation it belonged to stays in place for everything else in that period. Because the transaction no longer counts as reconciled, the beginning balance for the account's next reconciliation changes too. That's why Intuit's final step is to reconcile the account again.

Intuit's manual alternative to undoing a completed reconciliation is to go through the register or the account history and unreconcile each transaction it covered, repeating the steps above for every one. In the register or account history, a transaction marked C (cleared) is one that appears ticked on the reconciliation screen.

Close without saving throws away only the selection changes made in the session you're in. Use it when a session has gone wrong, before you finish it.

If it doesn't work

Can't get started because the statement's beginning balance doesn't match QuickBooks? Fix that balance instead of undoing anything; the page on fixing a reconciliation discrepancy walks through it. If the statement details you typed in at the start are wrong, select Edit info to correct them. Then go down the statement line by line, checking each transaction against your books, until the difference reaches zero.
