How to void a bill in QuickBooks Online

QuickBooks Online can't void a bill itself: among expense transactions, its Void option covers only cheques, expenses and bill payments. What you can do is void the payment made against a bill, or delete the bill, both from the Action column in Expense transactions.

Key takeaways

  • Among expense transactions, QuickBooks Online voids only cheques, expenses and bill payments, so a bill itself isn't one it can void.
  • A voided bill payment stays in your records at zero and marked as void, and the void can't be undone.
  • Deleting a bill takes it out of QuickBooks everywhere except the audit log.

Before you start

Work out which transaction needs cancelling. If you paid a supplier's bill and that payment shouldn't stand, the bill payment is the thing QuickBooks lets you void. If the bill itself shouldn't be in QuickBooks, for example because it was entered twice, deleting the bill is the option on offer.

It helps to see which bills are still open. Go to All apps, select Expenses & Bills, then Bills, and look at the Unpaid tab, which lists the bills waiting to be paid.

Think about why the bill is wrong, too. Intuit's bill help says a business expense you've already paid belongs in QuickBooks as an expense rather than as a bill, which matters if that's how the mistake happened.

Steps

  1. Go to All apps, select Expenses & Bills, then select Expense transactions.
  2. Find the transaction you want to cancel: the bill payment, or the bill itself.
  3. From the Action column, select the dropdown. Choose Void for a bill payment, or Delete for a bill.
  4. Select Void or Delete to confirm.

Note

QuickBooks can void only cheques, expenses and bill payments from this list. That's why a bill needs Delete rather than Void.

What changes afterwards

A voided bill payment isn't removed. It remains in your records with a zero amount and a void label, so it no longer affects your totals, and QuickBooks can't take the void back. If you voided the wrong payment, the route Intuit gives is to delete the voided payment and record a new one.

After voiding a bill's payment, look for the bill on the Unpaid tab of the Bills page to see where it now stands.

A deleted bill goes from everywhere in QuickBooks except the audit log, and Intuit says the log can be used to re-enter a deleted transaction. To put in a corrected bill instead, select + New or + Create and choose Bill. Pick the supplier from the Supplier dropdown and the payment terms from the Terms dropdown, and enter the Bill date, Due date and Bill no. exactly as the supplier shows them. Fill in the Category details section, then select Save and close.

If it doesn't work

Looking for Void on a bill and not finding it is expected, since a bill isn't one of the transaction types QuickBooks voids; Delete is the choice Intuit's steps give for it. If the Item details section is missing when you re-enter the bill, Intuit's fix is in Settings: select Account and settings, then Expenses, then Edit. In the Bills and expenses section, select the edit icon, turn on Show Items table on expense and purchase forms, and select Save, then Done.
