How to add a user in Dext
In a Dext business account, an Admin adds a user from the Users page: select Add a user, enter the person's details, decide whether they get login access, choose a role and send the invitation by email or text message.

Key takeaways
- Only Admins can add users to a Dext business account.
- A user without login access can't sign in to Dext, but can still be a Document Owner and send documents in by their own submission email address.
- Roles in Dext are set per account, so one person can hold a different role in each account they belong to.
Before you start
Check that you can manage users. Adding, editing and removing people is limited to Admins, and if there's no Users section in your sidebar, your role doesn't allow it. Ask an Admin in the account, or your accountant or bookkeeper, to add the person for you or to change your role.
Know the business roles. A business account has three: Business Admin, User Admin and Standard User. A User Admin can add only other User Admins or Standard Users. Practices have a separate set of roles that apply only inside the practice, and when a practice works in a client's account, its people act as Admins there whatever their practice role.
Decide on login access. With it, the person can sign in, submit, view or manage documents as their role allows, and switch between accounts if they belong to more than one. Without it, they can't sign in or see items in the web app, but they can still be named as a Document Owner and send documents in through their own submission email address.
Your Dext plan may cap how many users the account can have. A Business Admin can see and manage the plan under Business settings, Subscription.
Steps
- Open Users in the Dext web app.
- Select Add a user.
- Fill in the person's details and choose whether they get login access.
- Select Next, then pick a role for them.
- Add any extra permissions the person needs, if there are any.
- Choose whether the invitation goes by email or by text message.
- Select Add to send the invitation.
Note
What changes afterwards
The person receives the invitation the way you chose. An email invitation has a Log in button that accepts it and opens your business account. A text message carries a secure link to a page where they set a password, followed by a screen explaining how to download the Dext mobile app and sign in.
If they already have a Dext account with a verified email address, they're added straight away, and your business shows in their account switcher the next time they log in. If their email isn't verified, the Users list shows them as Pending invitation. Until they accept, they're only a Document Owner: you can assign items to them and submit documents for them, but they can't log in, submit anything themselves or use the account switcher. Accepting verifies their email and opens up everything their role allows.
A new user's details, role and login access can all be changed later. The Manage menu beside their name on the Users page lets you edit their details, including their Extract by email addresses and the WhatsApp integration, change their role, resend the invitation, reset their password, or deactivate or remove them. The account owner is an exception to removal. That label usually belongs to the first user added and carries no extra rights, but the owner can't be deactivated or removed, and only Dext's support team can make someone else the owner.
If it doesn't work
If the invitation hasn't arrived, ask the person to look in their spam or junk folder and to make sure messages from Dext aren't being blocked. Then resend it from Users: select Manage next to their name and choose Resend invitation. An invitation that isn't accepted in time expires, and resending it is the fix for that too.
If the Manage button is greyed out for someone, you're most likely a User Admin trying to manage a Business Admin. Dext limits User Admins to managing other User Admins and Standard Users.
