How to clear publishing data in Dext

In Dext you clear publishing data while unarchiving an item, by ticking Clear publishing data when asked, or afterwards from the Actions menu in the Inbox. It's how a published item becomes publishable again, once the copy already in your accounting software has been deleted.

Key takeaways

  • Dext tags each item it publishes so that it can't go to your accounting software twice, and clearing publishing data removes that tag.
  • The earlier version should be deleted from your accounting software before the item is published again, or a duplicate can result.
  • Publishing and republishing items in Dext needs an Admin user or someone with publishing permissions.

Before you start

Why clear it at all? A published item can't simply be sent again, because Dext marks it to block a second publish. Clearing that record is the way through when an item went across incorrectly, has to be changed, or shows an error on a second attempt to publish it.

The first step happens outside Dext: the version already published has to be deleted in your accounting software. Follow your accounting software's own steps for that part. If that copy has been reconciled, check with your accountant before you remove anything.

Check your access. Only an Admin user, or someone given publishing permissions, can publish and republish items. Then find the item. By default Dext moves cost and sales items to the Archive automatically once they're published, so that's usually where it is. If someone has already unarchived it without clearing the data, it's back in the Inbox instead.

Steps

  1. In your accounting software, delete the version of the item that Dext published before.
  2. Back in Dext, open the Archive tab in Costs, Sales or Expense claims.
  3. Tick the checkbox on the left of the item, or of each item if there are several, and click Unarchive.
  4. When Dext asks about publishing data, tick Clear publishing data, then click Unarchive to confirm.
  5. Find the item in the inbox, make the corrections it needs, and publish it again.

Note

Already unarchived the item but kept its publishing data? After deleting the earlier version in your accounting software, open the Inbox tab in Costs, Sales or Expense claims, select the item, click Actions in the toolbar and choose Clear publishing data. It can then be published again.

What changes afterwards

With the data cleared, the item sits in the inbox again, and the next publish sends it as a fresh transaction. Dext warns that this can create a duplicate in your accounting software, which is why the earlier version comes out first.

Choosing Keep publishing data on the way out of the Archive gives a different result. The item still lands in the inbox, but Dext won't let it go across again, and it shows a publishing error instead. Clearing the data from the Actions menu, as in the note above, puts that right.

Once it's republished, a cost or sales item goes back to the Archive on its own, as long as your archiving settings still say so. Those settings live under Business settings, then Automation, in the Archiving section. With an archiving option turned off, items stay in the Inbox after publishing instead.

If it doesn't work

Dext asks whether to clear publishing data when you unarchive an item in an account connected to accounting software. You can also unarchive from the item itself: open it from the Archive and select Unarchive at the top of the page.

If a republished item now appears twice in your accounting software, check whether the earlier version was deleted first, as Dext asks. Check with your accountant before removing either copy, particularly one that has been reconciled. And if you can't publish at all, check your access: Dext needs you to be an Admin user or to hold publishing permissions.
