Key takeaways

  • Save and duplicate in MYOB Business creates a new invoice for the same customer, with the same line items and a new invoice number.
  • An invoice can be duplicated whether or not it has been saved.
  • An invoice duplicated by mistake has to be found on the Invoices page and deleted.

Before you start

Decide whether a one-off copy is what you need. Duplicating suits an invoice that looks like an earlier one but isn't on a fixed schedule. If you send much the same invoice again and again, MYOB offers recurring invoices instead: save the invoice with Save as recurring, and next time choose Prefill from recurring on a new invoice to fill it in from that template.

Find the invoice you want to copy first. It doesn't matter whether it's been saved yet or is one you're still working on, because MYOB lets you duplicate either. The copy is made out to the same customer as the original.

Steps

  1. Go to the Sales menu and choose Invoices, then click the invoice you want to copy.
  2. Open the Save menu at the top right of the invoice and choose Save and duplicate.
  3. Click Save on the confirmation message. MYOB saves the original and creates the copy.
  4. Look over the copy, which has the same customer and line items as the original but its own invoice number.
  5. Change anything that's different this time, such as the Issue date, the Due date, the Units or Amount on each line, or the Notes to customer.
  6. Save the copy again once you've made your changes, using the Save button.
  7. If it's ready to go, click Share and choose Email invoice to send it to the customer.

Note

Save and duplicate isn't the same as Save and create new. Save and create new saves the invoice you're on and opens a blank one, with nothing carried across. If you start a copy and decide against it before saving, click Cancel.

What changes afterwards

You end up with two invoices for the customer. The original is unchanged, and the copy is a separate invoice with the next number in your sequence, which MYOB generates from the last number used. MYOB's reminder is to save the copy again after any change you make to it, so check it and save it before it goes out.

A copy is edited exactly like any other invoice, so the usual invoice fields all apply: payment terms, line layout, Freight, Job, attachments and notes.

To reverse an accidental duplicate, find the new invoice in the Invoices list and delete it. The original stays as it was.

If it doesn't work

If you can't find Save and duplicate, it sits in the Save dropdown with Save and create new and Save as recurring. The copy follows the same rules as any new invoice: if you can't enter Freight, for example, MYOB asks you to set a linked category for freight first.

If you use AccountRight on the desktop, MYOB's tip for sales you record regularly is to save one as a recurring transaction and use it as the starting point each time, rather than copying invoices one by one.
