How to upload receipts to MYOB

In MYOB Business, receipts go to Uploads. Drag a file onto the Uploads screen, email it to your unique uploads address or snap it with the MYOB Assist app, then use it to create a spend money transaction or a bill with the details filled in.

Key takeaways

  • Uploads accepts PDF, JPG or JPEG, TIFF or TIF, and PNG files of 10 MB or smaller.
  • MYOB Assist replaced the MYOB Capture app in Australia on 29 September 2026, and each person using it signs in with their own MYOB details.
  • A document deleted from Uploads can't be recovered, so download a copy first if you want to keep one.

Before you start

Check the file first. MYOB takes PDF, JPG or JPEG, TIFF or TIF, and PNG files at 10 MB or less. Then decide how it will arrive: dragged in from your computer, emailed to the address shown on the Uploads screen, or photographed with the MYOB Assist app. You can also skip Uploads and attach a file inside a spend money transaction, in the lower section of the page.

Using a phone? MYOB retired the MYOB Capture app in Australia on 29 September 2026 and replaced it with MYOB Assist, which is free and syncs with MYOB Business. Download it for iOS or Android, sign in with your own MYOB sign-in details, and uninstall Capture if it's still on your device. Assist works with an MYOB Business subscription plan (Pro, Lite, AccountRight or Connected Ledger). Anyone without their own sign-in has to be invited to the business's MYOB file by your MYOB administrator, who also assigns the role that controls what they can do in the app.

Two differences affect receipts in Assist. Images are cropped automatically, and receipts can't be matched to spend money transactions inside the app. If you relied on Capture's automatic receipt matching, that part of your routine changes.

To let suppliers email documents in, click Copy next to your unique email address in Uploads and share it. Tell them the size and format limits, and that it isn't your usual business email address.

Steps

  1. Click Uploads on the menu.
  2. Drag the receipt file from your computer and drop it onto the Uploads screen.
  3. Click the document to preview it.
  4. Click the ellipsis (...) button for the document and choose Create spend money transaction, or Create bill if it's a supplier's bill.
  5. Check what MYOB filled in from the document, such as dates, quantities and amounts, plus any note added in MYOB Assist. The page opens in split view, with the document beside the transaction for comparing.
  6. Add any details that are still missing.
  7. Click Record. The transaction is saved with the document linked to it.

Note

Already recorded the transaction? For a bill, click the ellipsis button for the document, choose Link to existing bill, select the bill and click Link. For spend money, open the transaction from Find transactions on the Banking menu, click Link a source document at the top, select the upload and click Link.

What changes afterwards

The document stays attached to the transaction you created or linked it to. Transactions with a document show an attachment icon, for example on the Bills page of the Purchases menu, and clicking the bill number brings the document up. A document linked to an existing bill also disappears from Uploads.

Documents still in Uploads can be downloaded or deleted from their ellipsis button. Download document opens a PDF in a new browser tab, ready to save or print. Delete document, followed by Delete in the confirmation, removes it, and it can't be recovered.

On a spend money transaction, the download icon next to an attachment saves it to your Downloads folder. Removing an attachment there unlinks it and deletes it permanently, so download or print it first if you need a copy.

If it doesn't work

If details don't prefill well, MYOB's desktop notes suggest making sure the print on the document is clear and sharp. For scanned documents, try a higher scan resolution, or more darkness if the scan is too light.

If you use AccountRight on the desktop with an online company file, uploads go to the In Tray instead, opened from the Purchases command centre. Files are dragged in or added with Add Documents. Its email address is under Email Address, and Reset email creates a new one if unwanted documents start arriving, after which the old address stops working. The desktop notes also say a document can't be linked to a bill or spend money transaction in a locked period.
