How to delete an invoice in QuickBooks

To delete an invoice in QuickBooks Online, open Sales transactions under Sales & Get Paid, pick Delete from the invoice's Action column dropdown, and confirm. The invoice is then gone from QuickBooks everywhere except the audit log.

Key takeaways

  • Deleting an invoice in QuickBooks Online removes it from everywhere except the audit log.
  • A deleted invoice still has an entry in the audit log, and Intuit says the log can be used to enter the transaction again.
  • Voiding is the option for an invoice that should stay on file at zero, while deleting is for one that shouldn't be in the books.

Before you start

Decide whether the invoice should vanish or just stop counting. Deleting is the cleaner choice for a duplicate or an invoice raised by mistake, since nothing of it stays in your sales lists. If you'd rather it remained visible as a cancelled record, void it instead: go to Sales, select Invoices and choose Void from its Action column dropdown. A voided invoice keeps a zero amount and a void label, and the cancel an invoice how-to covers that route.

Jot down the invoice's details first, such as the customer, number, date, lines and total. Once it's deleted you won't find it in your invoice lists, so having those details makes it much easier to recreate the invoice if you change your mind.

An invoice that's already been voided can still be deleted. Intuit points to this when a void needs reversing: since a void can't be undone, the way forward is to delete the voided invoice and raise a new one.

Steps

  1. Go to All apps, select Sales & Get Paid, then select Sales transactions.
  2. Look through the list for the invoice you want to delete.
  3. In the invoice's Action column, select the dropdown, then select Delete.
  4. Select Delete again when QuickBooks asks you to confirm.

Note

Invoices are deleted one at a time. The only transactions QuickBooks lets you delete in bulk are excluded bank transactions.

What changes afterwards

The invoice disappears from QuickBooks: from Sales transactions, from the customer's records and from your totals. The one place it's still recorded is the audit log.

Intuit gives no restore step for a deleted invoice. Getting it back means entering it again, and Intuit says the audit log can be used to re-enter a deleted transaction. The delete a transaction how-to explains how to search the log for a deleted entry.

Compare that with a void, which leaves the invoice in place at zero and can't be undone. A delete removes more, yet with the audit log to work from, a deleted invoice can be put back by entering it again.
