Key takeaways

  • Reckon Accounts Hosted saves an exported report to your Hosted Q: or B: drive, and you download it to your computer from My Files.
  • From Reckon Accounts Hosted 2023 onwards, exported reports and lists are saved as XLSX files by default.
  • A downloaded export can open in Protected View, a read-only mode that stays until you click Enable Editing or unblock the file.

Before you start

Exporting from Reckon Accounts Hosted happens in two stages. The export itself writes a spreadsheet file inside your Hosted account, on the Q: or B: drive. Getting that file onto your own computer is a second step, done from My Files.

Reckon changed how Hosted works with spreadsheets from the 2023 release onwards, and the change reached every Hosted user by November 2023. Exports now default to the XLSX format, which opens in Excel 2007 and later versions. Two options from older versions are gone: Auto Outline, which Excel itself offers under Data, Outline, Group, and the extra worksheet that explained worksheet linking.

You can export into a new workbook or into an existing one. An existing XLS or XLSX workbook is accepted, including one with sheets protected without a password; an XLS file is duplicated as an XLSX file. Hosted won't export into a sheet protected with a password, or into any protected workbook.

Steps

  1. Log in to Reckon Accounts Hosted and create or open the report you want.
  2. Click the Export button on the report. For a list, click the Spreadsheet icon instead. The Export window appears.
  3. In the Export window, click Export. The Export to file window opens.
  4. Give the file a File name you'll recognise. Save as type is set to XLSX Files by default. The export is saved to a location on your Hosted Q: or B: drive.
  5. Click My Files on the toolbar and select the Q folder, or the B folder if the export was saved there.
  6. Type xls or xlsx in the Search field to narrow the list to spreadsheet files.
  7. Click the file name to download it, or tick the file and choose Actions, then Download.
  8. Pick where to save it when asked. Reckon says the Download folder on your PC should be selected by default, and you can change it.
  9. Click Save.

What changes afterwards

The export adds an Export tips sheet with pointers under About, Customise/Update and Troubleshoot. In a new workbook, the report's data is on Sheet1. In an existing workbook, the data goes on a new sheet named SheetX, using the next free number, placed in front of the sheet that was last active.

Because the file came from the internet, Excel may open it in Protected View, a read-only mode with most editing turned off. Click Enable Editing to change the spreadsheet, let its formulas calculate and use your local printer settings. To stop it opening that way, open the file's Properties and, on the General tab, tick the Unblock box under Security.

If it doesn't work

If a sheet you've linked to exported data starts showing wrong figures, the report's structure may have changed since you set up the links. Reckon lists possible causes: items or accounts used in the report have been moved or deleted, an account with no activity is left out because All rows wasn't chosen, or the sheet holding the exported data was deleted. Reckon's suggested set-up is one source sheet that each export overwrites, with your own layout on a separate sheet linked to it.

Reckon Financial Statement Designer in Hosted can no longer export to Excel or Word, though PDF export is still available. For other problems, Reckon points to the Hosted section of its Community forum or to a support ticket.
