How to invite your accountant to Reckon One
You give your accountant access to Reckon One by sharing the book with them: in the Reckon Customer Portal, open My Products, then Reckon One, choose Share with... on the book and select User. They get the book and the roles you assign, and nothing else in your portal.

Key takeaways
- Reckon One lets you share a book with your accountant or bookkeeper through the Share with... option in the Reckon Customer Portal.
- Sharing a book gives the other person access to that one book, not to your portal.
- You change a shared user's permissions, or remove their access, from View current shares on the same Share with... screen.
Before you start
Sharing a book is Reckon's route for people outside the business, such as your bookkeeper, your accountant or an app developer. Team members inside the business are added differently, through Staff under Account in the portal, which the how-to on adding a user in Reckon One explains.
Ask your accountant for the email address or Reckon username they use, so the share reaches the right login. Think about which role or roles they should have in the book, because they can use the book as soon as you save.
You'll need to be able to see the book in the Reckon One area of the portal. That area lists the Reckon One books you can reach for one company at a time. If your login covers more than one company, use the company dropdown at the top left, next to the Reckon logo, to switch to the right company.
Steps
- Open the Reckon Customer Portal. From inside Reckon One, you can get there by clicking the arrow next to your book's name at the top left and choosing Manage subscription in Portal.
- Go to My Products, then Reckon One.
- On the book you want to share, click the three-dot menu and choose Share with...
- Select User.
- Type your accountant's email address or Reckon username.
- Click Next.
- Assign the role or roles they should have within the book, then click Save.
- Click Done to finish, or choose Share with Another User to give someone else access, such as your bookkeeper.
Note
What changes afterwards
Once you save, your accountant can open the book in Reckon One with the role you assigned. Their access stops at that book: sharing doesn't give them access to your portal. In their own portal, a book that someone has shared with them carries a small person icon in its bottom right corner.
To change what they can do, or end their access, open the book's three-dot menu again, choose Share with... and select User. On the Share with user screen, select View current shares. From there you can edit their permissions, or click the three-dot menu on their row, choose Unshare and confirm with OK.
If it doesn't work
If you can't find the book to share, check the company selected in the dropdown beside the Reckon logo, since the list only shows one company's books. If Reckon's own support team needs to see your book, the portal has a separate option for sharing it with technical support. Reckon's help also points to its Community forum and support tickets.
