How to delete a document in Hubdoc

To delete a document in Hubdoc, open it, click Delete and confirm with OK, or in the mobile app tap the document, tap the delete icon and confirm. Deleted documents go to the Trash folder, where you can restore them, though not once the trash has been emptied.

Key takeaways

  • A deleted Hubdoc document can be restored from the Trash folder by dragging it back into a folder.
  • When a folder is deleted, its documents go to Trash and the folder disappears from the FOLDERS menu.
  • Documents emptied from Trash can't be restored.

Before you start

Check your role first. In Hubdoc, a user with the Upload only role can upload documents but can't delete them.

Then track down the document. Hubdoc sorts documents into status tabs that show where each one is in the workflow. All lists everything, whether it came in by hand or automatically. Processing holds manual uploads still having their data extracted, Review holds manual uploads that have finished extraction or have it switched off, and Failed holds documents whose extraction or publishing didn't succeed. Archived holds documents published to a destination, along with some others, such as ones archived by a user or by a supplier's auto-archive setting.

If a long list makes it hard to spot, click the current sort order next to Sort By and pick a different one. The All tab sorts by upload time unless you change it, and the other tabs sort by bill date.

Clearing out a duplicate? Hubdoc puts a duplicate symbol on a document whose date, supplier, amount and invoice number (where there is one) match a document already in your organisation.

Take care with a document on the Archived tab that has been published to a destination. Check with your accountant before deleting it, or before changing anything in your accounting software that's been published or reconciled.

Steps

  1. Go to the status tab, or the folder under FOLDERS, that holds the document.
  2. Open the document.
  3. Click Delete.
  4. Click OK to confirm.

Note

On your phone, open the Hubdoc mobile app's Documents screen, tap the document, tap the delete icon, then tap Delete document to confirm.

To delete a whole folder instead, select it under FOLDERS, click the arrow beside the folder name, choose Delete Folder, and click OK.

What changes afterwards

A deletion can be undone by restoring the document from Trash: select Trash under FOLDERS and drag the document into the folder it belongs in.

Documents from a deleted folder land in Trash too, and you can drag them back into a folder in the same way. The folder itself no longer shows under FOLDERS.

Emptying the trash makes a deletion final. Select Trash under FOLDERS, click the down arrow and choose Empty Trash. After that, nothing that was in Trash can be restored, so check its contents before you empty it.

If it doesn't work

If a published document isn't on the Archived tab yet, check its destinations. Where an organisation has more than one destination and saved configurations, a document moves to Archived only after it's been published to all of them, so it may still be sitting on another tab.
