How to upload documents in Hubdoc

In the Hubdoc web app, click Upload Document on your organisation's dashboard, pick an upload option, then browse to the file or drag it into the dialog. On a phone, the Hubdoc mobile app lets you photograph a document and upload it.

Key takeaways

  • Uploading in the Hubdoc web app starts from the Upload Document button on your organisation's dashboard.
  • Multi-Page PDF Split gives each page of a single-sided PDF its own document in Hubdoc, and it only works with PDF files.
  • Hubdoc accepts a single file of up to 35MB, in formats such as PDF, JPEG, PNG and HEIC.

Before you start

Check the file type. Hubdoc takes PDF, JPEG, PNG, IMG, HEIC, HEIF, HTML and plain text files, whether the document is an invoice, a receipt or a cheque, and any one file can be up to 35MB. It can't open a zipped folder, and it won't extract data from a spreadsheet such as an Excel or Google Numbers file.

Look at how the paper was printed. Hubdoc reads just one side of each document, so a double-sided page can't go in as it is. Use a scanner or another program to combine both sides into one document, then upload that combined file.

Think about where the document is headed. When Hubdoc publishes a document, QuickBooks Online shows it as an attachment on the transaction only if it's under 25MB, and Xero only if it's under 3MB. Anything bigger appears on the transaction as a link.

Hubdoc doesn't limit how many documents an organisation stores, but it does limit how many come in: up to 1,000 uploaded or emailed documents every 24 hours. Once an organisation reaches that, either wait 24 hours or switch data extraction off and carry on uploading.

Steps

  1. Open your organisation's dashboard in the Hubdoc web app and click Upload Document.
  2. Pick an option. Standard Document Upload handles one document or a batch of separate ones, and Multi-Page PDF Split turns every page of a PDF into a separate document.
  3. Click Browse.
  4. Select the file, or several files for a bulk upload, and click Open.
  5. Go to the All tab to find the documents you've just added.

Note

Instead of clicking Browse, you can drag files from your computer or device and drop them into the upload dialog. An organisation in the US or Canada can also choose a third option, Bank Statement Upload, for pulling data from a supported bank's statement.

What changes afterwards

Each uploaded file becomes a document in your Hubdoc organisation. It shows under the All tab, and also under whichever of the Processing, Review or Failed tabs matches its current status, so you can see where it's up to.

A Multi-Page PDF Split upload produces one document per page instead of one document for the whole file. A Standard Document Upload of several files produces one document per file.

If a document went in by mistake, the how-to on deleting a document in Hubdoc covers removing it. Emailing documents to your organisation's intake address is another way in from a computer, and it has its own how-to.

If it doesn't work

If Multi-Page PDF Split won't take your file, check it's a PDF. That option refuses every other file type, so use Standard Document Upload for images and other formats.

Bulk uploads of up to 50 single-sided documents at a time belong to the web app. Hubdoc's help says the mobile app doesn't handle them.

Scanning on paper often? If you have a Fujitsu ix series scanner, connecting your Hubdoc organisation to ScanSnap lets you scan a document and have it upload to Hubdoc straight away.
