How to send a receipt in MYOB

In MYOB Business, a customer who pays online gets their receipt automatically. For a payment you record yourself, the receipt is a copy of the invoice showing the payment, which you email or download from the invoice's Share menu.

Key takeaways

  • A customer who pays through MYOB online payments is emailed a notice of the payment and can view or download a receipt from their online invoice.
  • For other payments, MYOB's suggested receipt is a copy of the invoice that shows the payment.
  • AccountRight on the desktop can print payment receipts, but it can't email them directly.

Before you start

Find out how the customer paid. With online payments there may be nothing for you to do: MYOB emails the customer to say they've paid, and the Pay Now button on their online invoice turns into View Receipt.

Anything else, such as a direct deposit or cash, has to be recorded against the invoice first, so that the copy you send shows the payment. Check it's on the right invoice before you send anything.

AccountRight on the desktop can print a receipt for a payment recorded in the Receive Payments, Receive Money or Bank Register windows, a sale with an amount in its Paid Today field, and a refund received in Settle Returns & Debits.

Steps

  1. If the payment isn't in MYOB yet, go to the Sales menu, choose Record invoice payment, pick the customer, choose the Bank account the money went into, select the invoice it pays and click Save.
  2. Go to the Sales menu, choose Invoices and click the invoice the payment was for.
  3. Open the Share menu and click Email invoice.
  4. Check the customer's address in the Send To field.
  5. Edit the Subject and message so the customer can see this email is their receipt.
  6. Select Attach invoice PDF, choose the PDF template and click Preview to check the copy.
  7. Click Send. To hand over or print a copy instead, choose Download PDF from the Share menu.

Note

If you use AccountRight on the desktop, receipts come from Print Receipts in the Sales or Banking command centre, which opens the Review Receipts Before Printing window. Enter the number of copies in the Print field, tick each receipt and click Print. To print one again, click Advanced Filters and clear Unprinted Receipts Only.

What changes afterwards

The customer now has a copy of the invoice with the payment on it, as a PDF and a link to the online invoice. Open the invoice again and its Activity history shows that it was emailed, and later when the customer viewed it.

On the desktop, a printed receipt reflects the receipt transaction it came from. If you change, reverse or remove that transaction later, receipts you've already printed may no longer be right. Printing on pre-printed stationery also renumbers things: when you enter the number of the first receipt in the printer, MYOB changes the IDs of the recorded receipts to match the printed ones.

If it doesn't work

To email a receipt from AccountRight on the desktop, print it to a PDF instead of paper, using the PDF printer built into Windows or a program such as Adobe Acrobat or CutePDF, then attach that file to an email.

If a receipt you expect isn't in the Review Receipts Before Printing window, click Advanced Filters and try turning Unprinted Receipts Only off or on, or enter a range in the Receipts Dated From and To fields, then click OK. If lines are cut off a receipt that covers several invoices, click Advanced Filters, then Customise, drag the bottom edge of the table down to make room and save the form.
