How to record a refund in Reckon One

In Reckon One, a refund to a customer is recorded from an approved customer adjustment note: click Issue refund, then enter the payment date, bank account and amount. A refund you get from a supplier is recorded the same way from a supplier adjustment note, using Enter refund.

Key takeaways

  • Reckon One records a customer refund against an approved customer adjustment note, through its Issue refund option.
  • A supplier's refund to you is entered from a supplier adjustment note with Enter refund, which also has a Reference field.
  • Reckon lists customer and supplier adjustment notes as features of its Accounting Plus and Premium plans.

Before you start

Reckon's articles record both of these refunds from an adjustment note, which is what Reckon calls a credit note. In those articles, a refund to a customer starts from a customer adjustment note, and the create a credit note how-to explains how to make one. Have the date of the refund, the bank account it went through and the amount in front of you.

Both kinds of adjustment note, customer and supplier, are on Reckon's Accounting Plus and Premium plans, so check the book's plan before you look for them.

A refund from a supplier works the other way round. A supplier adjustment note records a credit that the supplier has put on your account. It can go against an outstanding bill with that supplier, or, where the supplier's own terms and conditions allow it, you can ask them to refund it in cash.

If the customer would rather keep the credit for their next invoice, this isn't the task you need: applying the credit is covered in its own how-to.

Steps

  1. Go to Customer adjustment notes: it's in the Money In section when you expand Day to day in the side navigation menu, and on the Quick Add menu.
  2. Click Add and fill in the note, including each field with a red asterisk. The create a credit note how-to goes through this part.
  3. Click Approve, which saves the note and approves it.
  4. Of the two choices an approved note offers, take the one that uses the credit now: click Issue refund.
  5. Enter the Payment date of the refund.
  6. Choose the Bank account the refund was made through.
  7. Enter the Amount being paid back to the customer.
  8. Click Save, then Close to return to the list.

Note

Money back from a supplier: expand the Day to Day menu and choose Supplier adjustment notes in the Money Out section, or use the Quick Add menu. Click Add, complete the required fields and click Approve. Then click Enter refund, fill in the Payment date, Bank account, Amount and Reference fields, and click Save.

What changes afterwards

The refund is recorded with the date, bank account and amount you entered. For a supplier note, Reckon changes the status to Closed once the note has been refunded or applied. For customer notes, the All, Draft, Approved and Closed tabs on the overview show where each one stands.

A supplier note doesn't have to be dealt with on the day you approve it. Clicking Close instead of Enter refund keeps it to apply at a later date, and the Supplier adjustment notes overview lets you filter by the same four tabs.

Look over the amount and bank account before clicking Save.
