Key takeaways

  • In Reckon One, a stored customer credit is applied from the invoice, through Record payment and then Apply credit to invoice.
  • When the customer has credit available, Reckon shows a blue alert about it on the Record payment screen.
  • An invoice that the credit pays in full takes the status Paid.

Before you start

You need a credit to apply. In Reckon One that's an approved customer adjustment note, Reckon's name for a credit note, held as a credit for the customer. If it doesn't exist yet, make it first with the create a credit note how-to.

Two plan notes apply here, and they differ. Reckon lists adjustment notes on its Accounting Plus and Premium plans. Its article on recording payments and credits against customer invoices lists that feature for all accounting plans and Reckon Ultimate.

Open the invoice and check its status. Reckon's steps for recording against an invoice are for one that is Unpaid or Approved, and the credit goes through that same Record payment screen.

Decide how much of the credit to use on this invoice before you begin, because the Apply credit screen asks for an Amount.

Steps

  1. From the Day to day menu, choose Invoices.
  2. Click the invoice that the credit should reduce.
  3. Click Record payment.
  4. Check for a blue alert telling you the customer has outstanding credit.
  5. Click Apply credit to invoice.
  6. On the Apply credit screen, type an Amount against the credit you're using.
  7. Click Apply.

Note

You can also use a note the moment it's approved, without going to the invoice. On the note, click Issue refund and tick Apply available transaction. Choose the invoice in the Transaction to apply dropdown, enter how much to apply, then click Save, then Close.

What changes afterwards

The invoice owes less by the amount you applied. If the credit clears what was left, Reckon gives the invoice the status Paid. Back on the Invoices list, the total amount and balance remaining columns reflect the credit.

On the note's side, applying it from its own screen moves it to Closed. The Customer adjustment notes overview shows each stored note's balance remaining, so you can see what credit is left for later invoices.

Confirm you've picked the right invoice and figure before clicking Apply or Save.

If it doesn't work

No blue alert on the Record payment screen? Reckon shows it when the customer has credit available, so open Customer adjustment notes and look at the note's status and balance remaining. With the Money in Approval Process on, a note saved with Save is still a draft, and it's at approval that Reckon offers to store the credit.

Record payment not there? Reckon's steps for recording against an invoice are written for one that is Unpaid or Approved, so check the invoice's status.
