How to send remittance advice in Reckon One

In Reckon One a remittance advice comes from the supplier payment itself. Open the saved payment and click Send via email at the top right to email it to the supplier, or click Print for a PDF copy.

Key takeaways

  • Reckon One produces a remittance advice for each individual supplier payment, once that payment has been saved.
  • The Print and Send via email options sit at the top right of an open payment transaction.
  • The advice takes its logo from the Standard bill header in the bill templates, and its email wording from the Remittance Advice email settings.

Before you start

Save the payment first. Reckon offers the advice once the payment is saved, and each advice belongs to a single payment. If you're paying a bill, that means opening the approved bill from the Bills overview, clicking Make payment, completing the details and clicking Save.

Make sure your role lets you send it. Among Reckon's payments permissions, Print and email lets a user see a payment, print it and email it, and All includes the same rights. Roles are managed from Settings, under Roles.

Have the supplier's email address ready, because you add it when you send. Two settings are worth doing once, before your first advice. For your company logo, go to Settings, then Money out, then Bills, then Manage templates, and add it to the Standard bill header. For the email's default wording, go to General settings, then Email settings, then Remittance Advice.

Steps

  1. In the vertical navigation menu, expand Day to Day and choose Make payment in the Money Out section.
  2. Click the payment the advice is for, to open the payment transaction.
  3. Find the Print and Send via email options at the top right of the window.
  4. Click Send via email.
  5. Add the supplier's email address.
  6. Change the message if you'd like it to say something different from the default.
  7. To see the advice as the supplier will, click the Remittance Advice link at the bottom of the message box.
  8. Send the email once you're happy with it.

Note

Prefer paper or a file? Click the Print link on the saved payment instead, and Reckon prints the remittance advice as a PDF.

What changes afterwards

The supplier receives the remittance advice for that one payment. The payment stays in the Make payment list, so if the supplier asks for another copy, open it again and use Print or Send via email.

Settings changes carry forward to later advices. A logo added to the Standard bill header shows on remittance advices because the advice uses the bill template, and changes in the Remittance Advice email settings shape the message for each new email.

Reckon One creates an advice for each individual payment, so a supplier you pay in several payments has a separate advice for each one.

If it doesn't work

Can't see Print or Send via email? Check that the payment has been saved, and that your role includes the Print and email permission or All. If your logo is missing from the preview, check the Standard bill header under Manage templates in the Bills settings.
