How to delete a payment in Reckon One
Reckon's steps for deleting a payment in Reckon One take two moves: unlink it from the invoice or bill it paid, then delete it from the Receive money or Make payment list. Your user role needs delete rights for receipts or payments to do it.

Key takeaways
- Reckon One treats unlinking a payment and deleting it as separate actions, and an unlinked payment stays in its list until it's deleted.
- A role with only Create and edit rights for receipts or payments can't delete them; the Delete or All permission is needed.
- Unlinking a customer payment puts a paid invoice back to Unpaid, and unlinking a bill payment returns the bill to Approved or Overdue.
Before you start
Check your permissions. Reckon One controls money in (receipts) and money out (payments) with separate permission sets. View lets a user look but not change anything, and Create and edit stops short of deleting. Only Delete, or All, lets a user remove one. Roles are added or changed from Settings, under Roles.
Find out whether the payment is linked to anything. Reckon's articles unlink a payment from its invoice or bill first and delete it second. If all you want is to move a customer payment from the wrong invoice to the right one, unlinking is enough: the payment stays in Receive money and can be applied elsewhere.
Look at its reconciliation status as well. The Receive money and Make payment lists each have Not reconciled and Reconciled tabs. If the payment appears under Reconciled, check with your accountant before you delete it.
Steps
- Go to Day to day, then Money In, then Invoices, and open the invoice the customer payment was recorded on.
- Find the Already Paid field at the invoice's bottom right, where the amount shows as a blue link.
- Click unlink for the payment, then click Unlink to confirm. The invoice's status goes from Paid to Unpaid.
- Expand Day to day and choose Receive money in the Money In section.
- Find the receipt in the Receive money list and click it to open it.
- Delete the receipt from there. The same screen is where you'd revise it or view its history if deleting turns out not to be what you need.
Note
What changes afterwards
Unlinking puts the money back as owing. An invoice moves from Paid to Unpaid, and a bill returns to Approved or Overdue. For bills, the Links and Alerts widget on the Dashboard then reminds you that bills are unpaid, with a link through to them.
Deleting takes the payment out of the Receive money or Make payment list. If the money really did change hands, check with your accountant how it should be recorded.
If you stopped after unlinking, nothing has been deleted. The customer payment is still a receipt, available to go against another of that customer's invoices.
If it doesn't work
No way to delete? Check that your role includes the Delete or All permission for the kind of transaction you're removing, receipts for customer payments and payments for supplier ones. If the payment is still linked to an invoice or bill, unlink it first and try again.
