MYOB bookkeeping for retailers

For a retailer whose product range lives in MYOB as items, the books follow the stock: in on supplier bills, out on sales, and sometimes made up into gift hampers or bundles. We keep those item records in step with the paperwork and report each shop, market stall or pop-up on its own.

Stock, suppliers and shopfronts in MYOB

Your products are items in MYOB and each place you trade from can be a job, so its sales and costs can be reported separately. Jobs do not track stock quantities by shop.

  • Supplier invoices for new stock entered against the matching items, so the quantities MYOB holds for each product reflect what has been delivered, if your MYOB plan tracks stock.
  • Gift hampers, bundles and made-up packs recorded with the item-build feature in AccountRight desktop, carrying the stock count and recorded value of each product used over to the finished item, as a once-off or automatically for packs you make up again and again.
  • Each shop, market stall or pop-up set up as a job, and that job chosen on the sales and costs that belong to it, so a job report shows how every place you trade from is going.
  • Your MYOB file's own email address given to your stock suppliers, so each invoice arrives in MYOB ready for us to attach to its bill or to enter as a new one.
  • Each day's takings recorded from your sales system's daily summary, then checked against what the card provider settles and the cash you bank, as both show in the bank feed, with fees booked from the settlement details and any day that comes up short sent to you to look at.
  • MYOB's aged payables report, on plans that have it, listing each supplier's unpaid bills and how long they have been open, so stock suppliers can be paid in the order their terms ask for.
  • The shop's accounts and cards reconciled against their statements in MYOB, with cleared transactions marked off and what is left explained, whether that is a deposit still to clear, a wrong entry or a bank error you raise with the bank.

Retailers' questions about MYOB

Can MYOB keep count of what is on our shelves?
If your MYOB plan tracks stock, each product set up as an item carries a quantity on hand. It goes up as stock is bought on bills and down as it is sold, as long as sales are recorded against the items. Where your till software already keeps the counts, you and your accountant decide which system holds them, and we follow that.
We make up gift hampers from shelf stock. How is that recorded?
As an item build, if you use AccountRight desktop. The hamper and each product that goes into it are items, and recording a build carries the count and value of each product used across to the hamper. For a hamper you make up regularly, AccountRight desktop has an automatic-build option. The way that stock is valued is your accountant's decision.
We trade from a shop and a weekend market. Can we see them separately?
Yes. Each place you trade from can be a job in MYOB, and every sale and cost line can carry its job number. The job reports then show what each one brings in and what it costs to run, as far as those costs are recorded against it.
Supplier invoices keep going missing in our inbox. Can they go somewhere else?
Yes. Your MYOB file has an email address of its own, apart from your usual business email. Suppliers who send their invoices there put them directly in MYOB. We pick each one up and attach it to its bill, entering the bill first if it is not in MYOB yet. Invoices then stop waiting on someone to forward them.
Who decides how our stock is valued?
Your accountant. We record purchases, builds and stocktake counts as you give them to us, and leave the valuation method and any adjustments to your accountant.
