Key takeaways
- Reckon One deletes a journal entry from the Journals list, using the check box next to its date and the Delete button.
- System-generated journals in Reckon One, such as bank opening balances, are read-only and can't be edited or deleted.
- A journal with the wrong accounts, amount or date can be opened, corrected and saved rather than deleted.
Before you start
Be sure deleting is the right fix. Reckon gives three typical reasons to remove a journal: it was entered in error, it duplicates another entry, or later transactions have made it irrelevant. If the entry is right in principle but has the wrong accounts, amount or date, editing it keeps the entry and corrects it, which may suit you better.
Journals feed straight into your reports in Reckon One, so removing one changes the figures those reports show. Reckon suggests speaking to your accountant or bookkeeper before you modify a journal, so check with them before deleting one too.
Check where the entry came from. Journals that Reckon One generates itself, such as bank opening balances, are read-only.
It's worth looking at the entry's history first. Open the journal, then choose View history from the Actions menu (the three dots). The history shows when the entry was created and when it was changed, along with any notes people have added that may explain it.
Steps
- Open the Day to day menu and, under its Business section, select Journals.
- Find the journal entry you want to remove in the list. If you're unsure it's the right one, click it to open it and check its date, accounts and amounts, then select Journals from the Day to day menu again.
- Tick the check box next to the entry's date.
- Click Delete, near the bottom left corner of the page.
Note
What changes afterwards
The entry is no longer in your Journals list, and because journals feed your reports directly, its amounts drop out of reports you run from then on. Figures you took from Reckon One before the deletion may no longer match the same report run afterwards.
Before you delete it, note its date, accounts, amounts and any history notes, so you keep a record of what the entry held.
If you edited the entry rather than deleting it, the journal stays in the list with its new details, and its history records that it was changed. A note added there gives anyone reviewing the book later the reason for the change.
If it doesn't work
If an entry can't be removed or edited, check whether it's a system-generated journal, such as a bank opening balance. Reckon says these are read-only and can't be modified, so check with your accountant how to deal with one that looks wrong.
