Xero bookkeeping for dental practices
Your practice management system shows what the front desk took each day, and your Xero file should show that same money reaching the bank. We line the takings up with the deposits, then keep your dental lab, consumables and equipment supplier bills current in Xero.

What a dental practice's Xero file needs
The practice system records each payment taken at the desk, while Xero records what lands in the bank. Most of the work is joining those records up and keeping supplier accounts in order.
- Each day's payment totals from the practice management system compared with the card settlements and cash deposits in the Xero bank feed
- Settlements that combine takings from different days, such as over a weekend, traced back to the days they cover
- Payments from patients and other payers matched to the practice system's reports, with any unexplained deposit listed for the practice to check
- Merchant charges recorded only where the merchant statement confirms them, and any settlement shortfall the statement does not explain flagged for the practice to query
- Dental laboratory bills entered as they arrive, matched to payments and checked against each lab's statement
- Bills from consumables and sterilising supply companies kept under their own supplier accounts, with the invoice attached to each bill in Xero
- Equipment supplier accounts for servicing, repairs and parts kept current, so the aged payables report shows what is owed to whom
