Xero bookkeeping for sports clubs
A club's books tend to pass from treasurer to treasurer, with receipts handed in by coaches, parents and canteen helpers along the way. We keep the club's Xero file current and set out so the committee can read it, whoever holds the role this season.

What we keep in order in a club's Xero file
The work is shaped around what the committee needs to see at each meeting and what a new treasurer needs to pick up.
- A tracking category for teams or sections, with an option for each team or section so juniors, seniors and any other sport the club runs can be reported separately
- An activity tracking category with options for fundraisers and funded projects, so a trivia night, raffle, presentation dinner or project can have its income and costs grouped together
- Sponsorship invoices raised in Xero and followed through the aged receivables report until each sponsor pays
- Money volunteers spend on the club's behalf repaid against the receipt they hand in, with the receipt attached to the repayment in Xero
- Grant money recorded as it's received, using the treatment your accountant specifies and the activity option for the project it was given for, so the project's receipts and spending can be followed
- A committee pack each month: the profit and loss by team, the balance sheet and the aged payables report of bills still to pay
- Club accounts, including any separate canteen or fundraising account, reconciled with their statements, each difference explained, be it an uncleared payment, a bookkeeping mistake or a bank error the club takes up with its bank
