Book Keeping Pros home

Bookkeeping for sports clubs

Sports clubs take most of their money in seasonal bursts: player registrations before the season starts, canteen and bar takings on game days, and sponsorship and fundraising income through the year. We look after day-to-day bookkeeping for sports clubs across Australia.

What we look after

What the books involve

  • Player registrations: season fees collected through an online registration platform matched from each payout to the members it covers, with the platform's fees recorded as a cost and unpaid players listed.
  • League and association levies: affiliation fees, insurance levies and competition entry fees passed on to governing bodies entered as bills, so the club's own share of registration income is clear.
  • Canteen and bar takings: game day cash and card sales reconciled to the point of sale and to the amounts banked, with food and drink supplier invoices entered against them.
  • Sponsorships and fundraising: sponsor invoices tracked until paid, and raffle, event and donation income recorded under separate accounts so each source shows in the committee's reports.
  • Grants: council and other grant money recorded against the project it was given for, with spending on that project tagged so what has been spent and what remains is clear.
  • Committee reporting: a profit and loss, a balance sheet and a list of unpaid bills prepared each month for the treasurer, and a tidy set of books to hand over when the treasurer changes.
