Book Keeping Pros home

Bookkeeping for childcare centres

Childcare centres collect fees from families on a regular cycle, while Child Care Subsidy payments for the same sessions arrive separately, so the books match each payment to the fees it relates to. We look after day-to-day bookkeeping for childcare centres across Australia.

What we look after

What the books involve

  • Family fee collections: direct debits and card payments taken through the centre's childcare software reconciled to the bank, with batched deposits split back to the family accounts they cover.
  • Child Care Subsidy payments matched to the session fees they relate to, with any differences listed for the centre to check against its childcare software.
  • Overdue family accounts: unpaid fees listed by family each month, so the centre can see which accounts are falling behind.
  • Enrolment deposits kept in their own account in the books, separate from fee income, and matched when they are refunded or used against a family's final fees.
  • Running costs: bills for food, nappies, cleaning, learning resources and maintenance entered and coded, with the centre's lease payments recorded against the right account.
