Xero bookkeeping for construction businesses
When crews work across several sites at once, a single hire account or fuel card can carry costs for all of them. We split those costs by site in Xero and keep the plant finance and supplier accounts behind them in order.

Xero bookkeeping across your sites, crews and plant
Each site, and each crew if you want it, is a tracking category option in Xero, so a single bill can be split across the sites it served.
- Hire company bills for excavators, elevated work platforms, scaffolding and site sheds split across the sites that used them, with the hire docket attached.
- Fuel card statements entered line by line and charged to the site or crew each fill was for, so fuel costs show up where the fuel was used.
- Equipment finance repayments for trucks, excavators and other plant recorded against each finance contract from the lender's statements, in the way your accountant has set for that finance, so the amount owing on each machine is clear.
- Purchases of new plant kept apart from repairs, servicing and parts, with the invoice attached, so your accountant can treat each one as they need to.
- Bills from the many small supplier accounts a construction business runs, for concrete, steel, aggregates, timber and consumables, entered against the right site as they arrive.
- Each supplier's monthly statement compared with what has been entered in Xero, with missing invoices, unapplied credits and double charges flagged before you pay.
- Profit and loss by site from the tracking categories, showing which sites are carrying the most cost against what they have earned.
- Bank and credit card accounts reconciled each month: what Xero shows is compared with the statements, and any gap is traced to an uncleared item, an error in the books or a bank error to raise with the bank.
