Xero bookkeeping for medical practices

A medical practice's billing reports and bank deposits can cover different dates or batches of payments. We match deposits in Xero to the reports your practice provides and keep bills for supplies and running costs up to date.

Xero work for a medical practice

Payments can arrive at different times or in combined deposits. We tie the deposits in the practice's books back to the billing system's reports, then look after the bills that keep the practice running.

  • Deposits from patients and other payers matched in Xero to the practice's billing reports, with combined deposits traced to the payments they cover
  • Reception card takings compared with the billing system's end-of-day report, with refunds and reversals traced to the day they were processed
  • A running list of deposits the billing reports do not account for, and of billings still waiting on a payment, for your practice manager to chase with the payer
  • Bills for medical consumables and clinical supplies entered against each supplier, with the invoice attached in Xero
  • Medical equipment purchases and servicing bills recorded, and any lease or finance repayments entered the way your accountant directs
  • Practice running costs such as rent, cleaning contracts and software subscriptions entered as bills or matched from the bank feed, each coded to its own account
  • Monthly profit and loss and aged payables reports from Xero, with income split by payer through tracking categories if that view helps the practice

Billing patients and payers. That stays with your practice team in the billing system, and we record and match the payments that come back from it.

What doctors ask about Xero bookkeeping

How do you match deposits from different payers?
We take the billing system's payment reports and match each deposit in the bank feed to the payer and period it relates to. A deposit that does not line up with those reports goes on a short list for your team to look into in the billing system.
Can you show us which payments we're still waiting on?
Yes. Using the billing system's reports, we list billings with no deposit against them yet, so your practice manager can follow them up with the payer concerned.
Our billing software is separate from Xero. Does it need to connect?
No. We work from the payment reports your billing system produces and the bank feed in Xero, so the systems do not need to be linked for the bookkeeping to be done.
What happens to rent, cleaning and software subscriptions?
Rent and cleaning usually arrive as regular bills, and subscriptions as card or direct debit charges. Each is entered against its own expense account, which lets each month's profit and loss set out the practice's running costs line by line.
We buy equipment and supplies from several companies. Can you keep those accounts straight?
Yes. Each supplier's bills go in as they arrive with the invoice attached, payments are matched as they leave the bank, and supplier statements are checked against Xero to catch a missing or duplicated bill.
