QuickBooks bookkeeping for medical practices

In a medical practice, consultations are short and numerous, and the money for them often reaches the bank in bundled deposits rather than visit by visit. We check those deposits against your practice system's payment reports in QuickBooks and keep the practice's accounts reconciled, for practices anywhere in Australia.

Keeping a medical practice's QuickBooks file in order

With many small payments and comparatively few supplier bills, most of the work in a medical practice's books is placing incoming money correctly. This is what we handle in QuickBooks.

  • Each bundled deposit compared with the practice system's payment report for the batch it covers, whether the money came from patients or other payers, with any gap noted so the practice manager can investigate
  • Practice bank and card accounts brought into QuickBooks through an Open Banking connection, at banks that offer it, so their transactions flow in for us to match
  • Income and costs recorded clinic by clinic where the practice has more than a single site and class tracking comes with its QuickBooks plan, so reports can be run for each site
  • Supplier bills for clinical waste collection, laundered linen and medical consumables entered against each supplier, then matched when the payment goes out
  • Every practice bank and card statement worked through in QuickBooks and reconciled, with payments yet to clear accounted for, bookkeeping errors corrected and any bank mistake taken up with the bank
  • Your accountant invited to the practice's QuickBooks file as a firm, through Manage users, so they can review the books and make corrections there

Patient clinical information. We work from payment totals in the practice system's reports, and clinical notes stay in the practice system.

Questions doctors ask about QuickBooks

A single deposit can cover a whole day's consultations. How do you check it?
We compare the deposit with the payment report your practice system produces for that batch. If the totals differ, we note the difference beside the report it relates to, which gives the practice team a starting point for finding the cause in the practice system.
Our practice account is held by a company. Can it still connect to QuickBooks?
Often, yes. Open Banking rules mean some company and trust accounts need a nominated data sharing delegate on the bank's records before they show up for connection in QuickBooks, and your bank looks after that step. The nominated person then approves the feed through the bank, and we can help with connecting supported bank feeds.
We run more than a single clinic. Can each site have its own reports?
If class tracking comes with the practice's QuickBooks plan, yes. We give each clinic its own class and record transactions against it, which lets you run the profit and loss for a single site. Without classes, this class-based breakdown is unavailable; we can agree another reporting approach with your accountant.
Is bookkeeping for a GP clinic different from a dental practice?
Mostly in where the effort goes. A GP clinic's books are shaped by high volumes of small payments arriving in bundles, so much of our time goes on matching deposits to reports. Dental work brings more supplier costs tied to particular patients, such as lab bills, and more treatment paid in parts.
