QuickBooks bookkeeping for landscapers

A landscape build pulls in soil, turf, pavers and plants from several yards and nurseries, plus machine hire, tip runs and subcontracted trades, often for a single client's garden. We gather those costs against each build in QuickBooks, which lets you read every job's result against its quote.

Landscaping jobs, materials and machines in QuickBooks

Each design and build job is followed from first deposit through to the closing invoice, with the materials, machines and trades it used charged to it.

  • Each garden build kept as a project for its client, provided your plan includes the projects feature, so the deposit, stage invoices and costs for that garden sit together.
  • Deposits and progress payments billed on the timetable you agreed with the client, following your accountant's treatment of deposits.
  • Supply yard dockets and nursery receipts for turf, topsoil, plants, sleepers and pavers photographed or emailed to QuickBooks, checked off under For review, then charged to the build that used them.
  • Hired excavators, skid steers and compaction gear charged to the garden that needed them, kept apart from repayments on the machines you own.
  • Retaining wall, irrigation, fencing and concreting subcontractors entered as bills against the build, so the project shows the trades you paid alongside your own materials.
  • Tip and green waste fees charged to the job that produced the waste, so the cost of clearing a garden shows up in what the job made.
  • A profit and loss report, an aged receivables report and a list of unpaid supplier bills each month, laid out the same way through busy and quiet stretches, so this season compares with the same months before.

Landscapers' QuickBooks questions

Can I see what a garden build made?
Yes, where your plan includes projects. The project report sets what you invoiced the client against the materials, hire, tip fees and subcontractor bills charged to that garden, ready to compare with your quote.
My supply yard gives me a docket and sends the invoice later. How does that work?
Snap the docket when you collect the load, or email it in, noting the job on it. When the yard's invoice arrives, we enter it against those jobs and flag any docket that hasn't been billed or any charge with no docket behind it.
Clients pay a deposit before we start. How is it recorded?
We match the payment to the deposit invoice on the client's project. Your accountant decides how a deposit sits in the books before the garden is built, and we follow that.
Work drops off in the cooler months. Can the books help me see it coming?
Each month we send the profit and loss with what clients owe you and what's coming due to suppliers and finance companies. Set against the same months in earlier seasons, that shows how the quieter stretch has run before.
I also do some garden maintenance. Can it be kept apart?
Yes. If class tracking is available to you, maintenance can carry its own class, separate from design and build work, so the class reports split maintenance from the builds.
