QuickBooks bookkeeping for architects
An architecture practice needs to know which projects pay their way and what the studio costs to run whatever the workload. We keep each project's income and costs together in QuickBooks and record overheads on their own, so project results and studio costs can be read side by side.

Projects and overheads in a practice's QuickBooks
Where your QuickBooks plan includes projects, each commission becomes a project under its client. Where it doesn't, its invoices and bills are still recorded under that client.
- Fee invoices, consultant bills and project expenses added to the project they belong to, on plans with projects, so each commission's transactions sit together
- A report for each active project every month, setting what it has brought in against what it has cost to date
- Bills from engineers, surveyors and planners emailed straight into QuickBooks, then matched or created in the For review tab and added to their project
- Practice overheads, including drawing, modelling and rendering software, institute memberships and professional indemnity cover, recorded without a project so they stay out of project results
- Client payments applied against the invoices they pay, and a monthly list of overdue fees by client drawn from the aged receivables report
- Bank feeds for the practice's accounts and cards set up through Open Banking where available, after the practice nominates any data sharing delegate its bank asks for
- Bank and card accounts reconciled in QuickBooks against each statement, and any gap put down to its cause, whether that's a card payment still pending or a duplicated entry we remove
