QuickBooks bookkeeping for hairdressers and beauty salons

A salon takes money at several points: a deposit when the client books, packages and vouchers paid ahead of treatments, and the balance when the appointment ends. We track money paid in advance client by client in QuickBooks, and match each payout from the booking platform, and each card settlement, to the report behind it.

What we track in a salon's QuickBooks file

Most of the care goes into money clients pay ahead of their appointments, which stays visible until it's used.

  • Booking deposits tracked against the appointment they secure until it goes ahead, is cancelled or is refunded, with how they're recorded in the accounts left to your accountant
  • Cancellation and no-show charges recorded from the booking system's reports, when it shows the appointment cancelled under your policy
  • Prepaid treatment packages followed client by client, so the value still to be used is easy to list
  • Payouts from the booking platform matched to its payout reports and kept apart from card terminal settlements, with fees recorded only as each report shows them
  • Hair services and beauty treatments split by class, where class tracking comes with your plan, so hair and beauty each have figures of their own
  • Receipts for supplies bought at the wholesaler's counter photographed on your phone with the QuickBooks app, and connected to the card charge
  • Reconciliations of the salon's bank and card accounts against their statements, with each difference explained: an uncleared payment, a bookkeeping slip or a bank error that needs raising with the bank

Salon owners ask about QuickBooks

Clients pay a deposit when they book. Where does that money sit?
It's tracked against the booking until the appointment happens, then applied to the client's bill, refunded, or kept if your cancellation policy says so. Your accountant decides how deposits are treated in the accounts, and we keep the list current, showing what's held for upcoming appointments.
We sell treatment packages paid up front. How are they recorded?
Each package goes into QuickBooks when it's paid, set up the way your accountant advises, and comes down as the client uses their sessions. If a client asks for a refund, it's recorded against the package it came from. A list of unused package value shows what's still owed in treatments.
Can QuickBooks show our hair and beauty work separately?
Yes, provided classes are on your plan. Each sale and cost gets a hair or beauty class, so reports by class split takings and spending between hair and beauty.
We buy supplies at the wholesaler's counter on the business card. What do you need?
Only the receipt. Snap it with the QuickBooks app, or send it on by email to QuickBooks, and it sits for review until we connect it to the card charge or turn it into an expense.
Do you need our clients' details?
Only the client's name on deposits and packages, so each can be tracked. Contact details, treatment notes and appointment history stay in your booking system and aren't needed for the books.
