QuickBooks bookkeeping for hotels, motels and serviced apartments

Beyond nightly bookings, some properties invoice companies for their guests' stays, hold bonds against damage and sell drinks and snacks at reception. We record that side of the business in QuickBooks, along with what it costs to keep rooms ready for the next guest.

Accounts, bonds and property costs in QuickBooks

We work from your reservation system's reports and the bills and statements you receive.

  • Stays charged to a company, travel agent or group organiser invoiced on account, with payments set against the invoices they clear
  • A monthly list, taken from the aged receivables report, of account customers who are overdue, ready for you to chase
  • Security bonds taken from guests tracked against their bookings, using the treatment your accountant specifies, until each is refunded or applied to a damage charge
  • Drinks, snacks and other reception sales set up as inventory items, if your QuickBooks plan includes inventory, so quantities on hand rise with each delivery recorded and fall with each sale entered against the item
  • Refurbishment, new furniture and replacement appliances kept apart from routine repairs, with each invoice attached, leaving the treatment of each to your accountant
  • Supported bank and card accounts connected through Open Banking, with any account that cannot connect, including a term deposit where applicable, recorded from its statements
  • Every account, connected or not, checked against its statement in QuickBooks each month, with any difference listed and explained, and anything the records can't explain put to you

Accommodation owners' questions about QuickBooks

We bill some companies monthly for their guests. Can you track what they owe?
Yes. Their stays are invoiced to the company, from QuickBooks or as your reservation system records them, and payments are matched as they arrive. The aged receivables report then shows which companies are overdue and by how much.
How are guests' security bonds recorded?
Each bond is recorded against its booking using the treatment your accountant specifies. A refund, or an amount kept to cover damage, is then entered against that bond, leaving a clear list of the bonds you still hold.
Can QuickBooks keep count of what we sell at reception?
Yes, if your plan includes inventory, which comes with Plus and Advanced. Each item's quantity goes up when a delivery is recorded and down when a sale is entered against it, and reorder points can warn you when stock is running low.
We've refitted some rooms. Is that recorded like a repair?
We keep it separate. Refurbishment and new furniture are recorded apart from routine repairs, with the invoices attached, and your accountant settles how each is treated in the accounts.
Can our term deposit be connected to QuickBooks?
It depends on whether your bank and QuickBooks support that account. We check the available connection; where a term deposit cannot connect, we record its interest and balance from the statements the bank sends.
