QuickBooks bookkeeping for cafes and restaurants

Supplier invoices arrive with every delivery, small purchases are paid from the till and gift vouchers are sold before anyone uses them. We capture all of it in QuickBooks, so you can read food and drink costs against sales each month.

Deliveries, till payouts and vouchers in QuickBooks

Each item starts from paperwork you already have: a supplier invoice, a till receipt, a voucher sale or a finance statement.

  • Supplier invoices photographed on a phone with the QuickBooks mobile app as each delivery comes in, or emailed in, then matched to an existing bill or turned into a bill in the For review tab
  • Food, drinks, packaging and cleaning supplies coded to separate cost accounts, so the profit and loss sets what you buy beside what you sell
  • Cash paid out of the till for milk, ice or small repairs recorded with its receipt, so the gap between cash takings and cash banked is accounted for
  • Gift vouchers sold and redeemed tracked using the treatment your accountant specifies, with a running list of vouchers not yet used
  • Repayments on finance or leases for coffee machines, ovens and refrigeration recorded from the finance company's statements
  • If your QuickBooks plan includes class tracking, a class for every venue, letting sales and costs be reported venue by venue
  • Bank, card and finance accounts reconciled in QuickBooks against the month's statements, with any leftover difference explained, from takings not yet banked to a supplier payment recorded in duplicate

Cafe and restaurant owners ask about QuickBooks

Can we photograph supplier invoices when deliveries come in?
Yes. Whoever takes the delivery can snap the invoice in the QuickBooks mobile app, where it waits in the For review tab. We match it to a bill already entered or create the bill from it.
We pay for small things from the till. How is that handled?
Keep the receipt, or snap it into QuickBooks. We record each payout as an expense, which explains the difference between the cash your point-of-sale report shows and the cash that was banked.
How do you record gift vouchers?
Voucher sales and redemptions are tracked using the treatment your accountant specifies, and we keep a list of vouchers sold but not yet used. It's worth checking that list against your point-of-sale or voucher system now and then.
We run several venues. Can each have its own figures?
Yes, if your QuickBooks plan includes class tracking, which comes with Plus. Sales and costs are given the venue's class, and running the profit and loss by class gives every venue its own result. QuickBooks also lets you set a budget for each class.
Can you show what we spend on food against what we sell?
Yes. Purchases are coded to food, drinks, packaging and cleaning supplies, so each month's profit and loss shows those costs beside sales. If your till reports split food from drink sales, we record sales that way too.
