QuickBooks bookkeeping for construction businesses

When a construction business has several contracts, crews and divisions running together, its books need to report on each contract and each division at the same time. Both views sit side by side in QuickBooks, and we keep the claims, subcontractor bills and card spending behind them in order.

Contracts, divisions and crews in QuickBooks

Contracts become projects and divisions become classes, where those features are on your QuickBooks plan, so a bill can show both the contract it was for and the part of the business that ran it.

  • A project for every contract under way, opened under the client or head contractor that awarded it, so its claims, bills and expenses can be reported on by contract.
  • Divisions such as civil works, commercial fit-outs and maintenance each assigned a class, if your plan supports class tracking, so profit and loss can be run division by division as well as for the whole business.
  • Progress claims to head contractors, developers and other clients invoiced against the contract's project, with retentions they hold back tracked on that contract and treated as your accountant decides.
  • Subcontractor bills from every site entered against the right contract and division, then held until the site manager confirms the work before they go into a payment run.
  • Receipts from supervisors' and crew leaders' company cards emailed straight to QuickBooks, where they wait under For review until we match every receipt to its card purchase and code it to the contract and division.
  • A list of unpaid supplier bills before each payment run, and an aged receivables report by client each month, with retentions still held listed apart from claims that are due now.
  • The business's accounts and company cards brought in through Open Banking feeds, with a data sharing delegate nominated first where the bank requires it for a company or trust account.
  • Every account's statement compared line by line with QuickBooks, each difference accounted for, and the report QuickBooks saves after each reconciliation left in the file for your accountant to look back over.

Tenders, estimates and contract administration remain the work of your project managers. We record the claims, bills and variations that come out of them.

What construction owners ask about QuickBooks

Should our divisions be classes or projects?
They do different jobs. A project gathers the transactions for a single customer, so it suits a contract. A class follows a segment of the business across every contract, so it suits a division. Both depend on your QuickBooks plan, and which to use, or whether you need both, is worth settling with your accountant first.
Can your accountant get into the file as well?
Yes. Your primary or company admin goes to Manage users, opens the Accounting Firms tab and invites your accountant by email. After they accept, they work in the file with their own login and can review the contract and division reports we prepare.
Our supervisors all carry company cards. How do you keep up with the receipts?
Each supervisor emails receipts to QuickBooks as they buy. We work through that queue in For review, pairing each receipt with its card purchase and adding the contract and division. Card purchases still lacking a receipt are sent to you, named by cardholder, so you can chase them.
Our bank accounts are in the company's name. Can they still connect?
For company, partnership and trust accounts, Open Banking may require the bank to hold a data sharing delegate nomination before the account shows up to connect. After that, the account holder approves the feed through their own banking login. Anything the bank can't connect yet can be imported from a file.
Can we see what each head contractor owes us?
Yes. Every claim is invoiced to the contract's customer, which lets the aged receivables report give each head contractor's balance, split into current and overdue amounts. We send it each month with retentions still held shown apart from claims now due.
