QuickBooks bookkeeping for home builders

Building a house at a time means every stage claim, trade bill and hardware receipt belongs to the home under way. We hold each house together in QuickBooks, starting at the first claim and running on to the bills and call-backs that follow handover.

What we look after for a home builder in QuickBooks

The work follows each house you build for its owner, from the signed contract through handover and the loose ends that come after it.

  • Each house kept as a project under its owner, if your QuickBooks subscription has projects, so the claim invoices, trade bills and receipts for that home sit together and can be reported on.
  • Stage claims raised as invoices when the house reaches each milestone in the contract, with a running figure of the contract left to claim, and each payment from the owner recorded in line with your accountant's treatment.
  • Hardware and trade counter purchases on your card captured as receipts, photographed in the QuickBooks app or forwarded by email, then paired under For review with the purchase already recorded, or entered as a fresh expense, and charged to the house.
  • Bills from your trades and suppliers, for slab, frame, roofing, plaster and tiling, charged to the right house, including those that turn up after the keys are handed over.
  • Call-backs after handover, such as adjusting a door or patching a crack, recorded against the finished house, so the full cost of completing it shows on that home rather than the next.
  • Personal spending on the business card set aside and listed for you to confirm, rather than charged to a house, and left for your accountant to treat.
  • Each month QuickBooks is set against the statements for your bank account and card: items yet to clear and mistakes in the books are traced, and a suspected bank error is noted for you to query with your bank.

Pricing a house and running the building contract stay with you. We work from the signed contract, its payment schedule and the variations you send us.

Home builders' questions about QuickBooks

Do I need projects in QuickBooks to follow each house?
They make it much easier. Projects come with some QuickBooks plans and not others. Where yours has them, each house is a project under its owner, and the project report shows what has been invoiced and spent on that home. If it doesn't, it's worth asking your accountant whether a plan with projects suits the way you build.
I buy most materials on my card at the hardware store. How do the receipts get to you?
Photograph each receipt in the QuickBooks app, or email it across. From there it sits in For review for us to match with the card purchase, or to turn into an expense if nothing matches, and to put on the house it was for. Anything on the card without a receipt goes on your monthly query list.
A trade's invoice arrived after handover. Where does it go?
On the house the work was done for, even if you've moved on to the next build. Charging it there keeps the finished home's figures complete and stops the next house carrying a cost that isn't its own.
Can you tell me how much is left to claim on the contract?
Yes. We compare the claims invoiced so far with the contract's payment schedule and the variations you've signed, and send you what remains to be claimed alongside what the owner has paid.
Some card purchases are personal. Does that cause problems?
Not if they're picked out. We don't put them on a house. We list them for you to confirm each month, and your accountant decides how they're recorded.
