QuickBooks bookkeeping for chiropractors and osteopaths

Chiropractic and osteopathy clinics often sell care plans paid ahead, so money can reach the bank well before the adjustments it pays for. We record those plans, and the busy appointment days around them, in your QuickBooks file, checking each deposit against what your practice system shows.

Care plans, settlements and clinic costs in QuickBooks

Your practice system holds the appointments, care plans and patient balances, while QuickBooks holds what reached the bank and what the clinic spent. The work is keeping them in step.

  • Care plans and session packs paid up front recorded when they're sold, under whatever treatment your accountant sets, with the sessions still owed taken from your practice system's report rather than estimated.
  • When a patient stops partway through a plan, the refund for unused sessions entered against that plan after it shows in the bank, checked against the amount your practice system calculated.
  • Each settlement from the reception terminal compared with your practice system's takings for the days it covers, since a single deposit can hold payments from many patients and from other payers.
  • Pillows, lumbar rolls, heat packs and creams sold at reception recorded as retail income, apart from treatment income, with product costs recorded using the treatment your accountant specifies.
  • Supplier invoices for face paper, linen service and treatment consumables sent to QuickBooks as an upload or an email, then paired with an existing bill under For review or turned into a new bill.
  • Adjusting tables and other clinic equipment recorded from the supplier's invoice, and the finance repayments on them recorded as your accountant has asked, checked against what the lender reports.
  • The clinic's bank and card accounts reconciled monthly, with any difference explained: a settlement still in transit, a payment entered against the wrong date or a bank-side mistake to query with them.

Bookings, treatment notes and patient files are kept in your practice software and aren't needed. We work from its takings, care plan and refund reports.

Questions from chiropractors and osteopaths about QuickBooks

We sell care plans paid in advance. What happens to that money in QuickBooks?
Each plan payment is recorded as it lands in the bank, under the treatment your accountant specifies for money received ahead of the sessions. We keep a list of plans with sessions still to be used, taken from your practice system, so your accountant can see how much care is still owed to patients.
A patient stopped partway through a plan and we refunded the rest. What do you record?
The refund, against the plan it came from, after it leaves the bank. We check the amount against what your practice system worked out for the unused sessions, and if they differ, we ask your reception team which is right.
What do you need from our practice software each month?
Its takings report by payment type, the list of care plans sold and sessions used, and any refunds processed. From those we can check each settlement and deposit in QuickBooks without needing access to appointments or patient notes.
Can the products we sell at reception be kept apart from treatment income?
Yes. Product sales are kept apart from treatment income, and stock purchases are recorded using the treatment your accountant specifies. Your accountant decides how stock on hand and the cost of products sold are reflected in the profit and loss.
Will the firm that does our accounts see the same figures you do?
Yes, after they're invited. A primary or company admin in your QuickBooks file sends the invitation from Manage users, on the Accounting Firms tab. When the firm accepts, its status moves from Invited to Active and your accountant can review the clinic's figures alongside us.
