QuickBooks bookkeeping for musicians and artists

A musician's income tends to arrive from a long list of payers in uneven amounts: a venue's fee, merch sold at the show, a distributor's payment, a student's lesson fee. We keep the income records, related costs and payments in your QuickBooks file, using the accounting treatment your accountant specifies.

What we keep in order for musicians and artists in QuickBooks

The work follows the gigs, releases and commissioned pieces you produce, and the many payers behind them.

  • Venues, festivals and event organisers set up as customers, with each show invoiced from the booking you confirm and its payment matched when it lands, so a fee that hasn't come in stands out.
  • Shirts, vinyl and posters sold at the merch desk entered from your card reader's sales report, and if inventory is part of your QuickBooks plan, the count on hand for each design lowered as it sells.
  • Statements from distributors, publishers and collecting societies recorded using the treatment your accountant specifies, with payments matched as they arrive and recorded music income kept apart from show fees.
  • Lessons and session work invoiced to the students and artists who book you, with part payments and slow payers followed up.
  • Commissioned artwork or composition opened as a project for the person who commissioned it, where your QuickBooks plan has projects, with the deposit held as your accountant specifies and the final invoice in the same report.
  • Receipts for studio time, mixing, mastering, pressing and gear sent to QuickBooks by upload or email and matched under For review, then given a class for the release or tour they belong to if class tracking comes with your plan.
  • Bank and card accounts reconciled with each statement, with any amount that doesn't agree explained, whether a payment yet to clear, a duplicate entry or a mistake by the bank that you can query with them.

Not included

Managing releases with your distributor and registering songs with collecting societies are yours to handle. We enter whatever they pay after it arrives.

Musicians' questions about QuickBooks

A venue still hasn't paid for a show. Can QuickBooks keep track?
Yes, provided each show is invoiced. The accounts receivable ageing report then lists every venue or promoter you're waiting on and how old each unpaid invoice is. We send it to you each month so you know who to chase.
I sell merch at gigs. Does QuickBooks need to know what's left in the tub?
Only if you want it to. With inventory on your plan, each design is set up as an inventory item and its count drops as sales are entered, and a reorder point can warn you before a size runs out. Without it, we record merch takings as income and leave the counting to you.
Payments from my distributor come in small amounts at odd times. Do they all need recording?
Each payment is recorded when it reaches your account and matched to its statement. The profit and loss shows income under the accounting basis your accountant specifies, which may recognise it in a different period from the payment.
Can I see what an album or a tour cost me?
On a QuickBooks plan with class tracking, each release or tour can have a class, and the studio, pressing, travel and gear costs for it carry that class. The class report then sets those costs beside the sales and fees it brought in. QuickBooks suggests keeping the class list simple, so we agree it with you before we start.
I also take art commissions. Can that sit in the same file?
Yes. Each commission can be a project for the person who ordered it, if your plan includes projects, which keeps the deposit, materials and final invoice together. The profit and loss still shows your art and music income in the same report.
