Xero bookkeeping for hair and beauty salons

A salon's money comes in appointment by appointment through the booking or point-of-sale system, with retail products sold at the counter and gift vouchers paid for well before they're used. We record those takings against card settlements in your Xero file, enter product and supply bills, and follow gift vouchers from sale to redemption.

What we look after in a salon's Xero file

We keep appointment takings, retail sales and the products you buy separate, so the salon's figures are easy to read.

  • Takings from your booking or point-of-sale system reconciled to card settlements, with card fees entered as the terminal provider's settlement details confirm them
  • Retail product sales recorded apart from appointment income, showing what the retail shelf brings in
  • Retail stock bought from distributors recorded as tracked inventory items, with each product line's purchases kept together
  • Bills for colour, treatments and salon supplies entered on arrival and kept apart from stock bought for resale
  • Gift vouchers tracked from sale to redemption under the treatment your accountant picks, with unused vouchers easy to list
  • Cash from the drawer compared with the deposits that reach the bank, with gaps raised for you to check
  • Every bank and card account reconciled against its statement monthly, with differences explained

Salon owners' Xero questions

How do sales from my salon booking software end up in Xero?
We record them from the booking system's sales reports, then match the card payments to the terminal provider's settlements. If the booking system and the bank tell different stories, the gap goes on a list for you to check.
How do you handle gift vouchers?
Each voucher sale is recorded according to your accountant's instructions, then matched to the service or product when the client redeems it, so you can tell which vouchers are still unused.
Can I see how much product I sell compared with what goes into services?
Yes, when retail stock and salon supplies are kept on different accounts. The profit and loss then shows retail sales beside the cost of the stock sold, with the colour and treatments used on clients as a cost of their own.
Do I have to change how clients pay?
No. We work with whatever your booking system and card terminal already record, plus the bank feed connected to your Xero file.
What do you need from me each month?
Usually just the booking system's sales reports and supplier invoices as they come in, plus any voucher sales taken outside the booking system. Invoices are attached to their bills in Xero, so the paperwork stays with each entry.
