QuickBooks bookkeeping for pubs and bars

In a pub, the public bar, bistro, bottle shop and function room can each be busiest on a different night, yet all their takings land in the same bank account. We record each area's takings in QuickBooks, trace each night's card and cash money to the deposits that follow, and keep the liquor suppliers' accounts checked.

Trading areas, takings and suppliers in QuickBooks

Each trading area keeps figures of its own so you can see where the money is made, and every night's takings are followed through to the bank.

  • A class for each trading area, from the public bar and lounge to the bistro, bottle shop and function room, on QuickBooks plans that include class tracking, so each area's results can be read on their own
  • Each trading night's point of sale totals recorded by area, with card settlements that land the next morning or after a weekend matched back to the nights they cover
  • Cash from the safe, banked in lots covering several nights, compared with the cash recorded for those nights, and any gap between them noted for you to check
  • Invoices for kegs, bottled beer, wine and spirits checked against each liquor supplier's monthly statement, and credits for damaged or short-delivered stock confirmed before the account is paid
  • Function deposits recorded when the payment is received, following your accountant's treatment, then applied to the function's final invoice after the night
  • Invoices from bands, DJs and quiz hosts, and PA hire, entered as bills with the night they played noted on each, so entertainment spending can be compared with that night's bar takings
  • Running costs such as security, cleaners, glassware, beer line cleaning and cellar gas kept on accounts of their own
  • The venue's accounts and cards reconciled with their statements, each gap put down to takings not yet banked, a settlement still pending, an entry made in error, or a bank error that needs a call to the bank

Publicans' questions about QuickBooks

Can QuickBooks tell me whether the bistro pays its way?
Yes, as long as your plan has class tracking. Bistro sales, and the kitchen costs we can put to it, carry the bistro class, so the class report shows the bistro's result next to the bar and bottle shop. Your accountant can help decide where shared costs belong.
Card settlements reach the bank after we've closed, sometimes days later. How do you match them?
Your card provider's settlement reports show which trading nights each deposit covers, and we match each deposit against the card takings for those nights. A merchant fee is booked only when the report shows it, and a night that still comes up short is flagged to you.
We don't bank cash every night. Will that cause trouble?
It shouldn't. Each deposit is compared with the cash recorded for the nights it covers, using your safe counts. If the banked amount and the counted cash don't line up, we list the nights involved so you can check them.
How are deposits for private functions recorded?
Each deposit is matched to its booking when paid and recorded as your accountant has asked until the function is held. After the night, it's applied to the final bill, and upcoming functions are listed with the deposits held.
Our liquor suppliers send monthly statements. Do you check them?
Yes. We compare each supplier's statement with the bills entered in QuickBooks and list missing invoices, credits for damaged or short stock that haven't come through, and any duplicate charges, before you pay.
