QuickBooks bookkeeping for roofers

A roofing business can be owed money by builders, homeowners and insurers together, with each payer working to its own terms and asking for its own paperwork. We keep each payer's invoices straight in QuickBooks, show you every balance still owed each month and check the roofing supply bills behind the work.

Roofing invoices and supply bills in QuickBooks

Each kind of payer gets invoices in the form it asks for, and supply bills are checked against what each job was quoted.

  • Claims to builders for new roofs invoiced with the builder's lot or job number, so each remittance can be matched to the right house
  • Re-roof and restoration payments from homeowners invoiced at the stages set out in your quote, with any deposit handled using your accountant's treatment
  • Storm and leak repairs billed to an insurer, or to the builder handling the claim, with the claim reference on each invoice, and kept in view until the remittance arrives
  • A receivables ageing report each month naming every builder, homeowner and insurer that still owes you, with how long each has gone unpaid
  • Bills for sheeting, flashings, ridge capping, sarking and fixings forwarded to QuickBooks by email, matched under For review, and checked against the quantities in the job's quote
  • Skip bin hire and tip fees from stripping old roofs recorded against the address they came from, so disposal shows up in each re-roof's costs
  • Reconciliation of every account and card the business holds against its own statement, where a gap is followed to its cause: an uncleared remittance, an entry missing from the books or posted to the wrong bank account, or a bank mistake to take up with your bank

Roofers' questions about QuickBooks

Insurance repair work comes with claim numbers. How are those payments matched?
Each repair is invoiced to the insurer or repair builder with their claim reference on it, so their remittance can be matched to the right roof. If a reference is missing, we ask you for it before the invoice is sent.
After a storm we're flat out and the paperwork piles up. Can you keep up?
Yes. Transactions keep arriving through your bank feed during the rush, and we work through them as they come. Send receipts and supplier bills when you get a chance, and we put them on the right jobs and list whatever still needs explaining.
Can I see who owes me money right now?
The accounts receivable ageing we send monthly lists every customer with an open balance, from a builder with an unpaid claim to a homeowner yet to settle the final stage, and how far behind each invoice is.
My supplier roll-forms sheets to my measurements. How do you check the bill?
We compare the lengths and quantities billed with the order or quote you send us for that address, and flag anything billed that wasn't ordered, or a credit for a short delivery that hasn't come through.
A homeowner is paying a re-roof in stages. Where do I see what's left?
Each stage is invoiced to the homeowner, so their customer record in QuickBooks shows what's been invoiced and paid. We also note which stages in your quote are still to invoice, and any deposit is recorded following your accountant's instructions.
