QuickBooks bookkeeping for painters
Most of a painting job's cost is paint, prep materials, access hire and any extra painters you bring on, and it's easy to lose track of which tins went to which address. We charge those costs to the job in QuickBooks, so each repaint or new-home contract can be weighed against the price you quoted.

Painting job costs, kept in QuickBooks
Each job gathers its own paint, materials, hire and bought-in labour, from your quote to the final payment.
- Each job opened as its own project under the homeowner, builder or strata manager who engaged you, if your QuickBooks plan has projects, with your quote entered as an estimate so the job's costs sit alongside it
- Paint store dockets for tinted paint, primers, fillers, caulk and masking supplies charged to the job address written on them, then checked against the store's statement before it's settled
- Credits for unopened tins returned to the store matched to the docket they came from, so a returned colour doesn't stay on the job's costs
- Scissor lift, scaffold and spray equipment hire billed to the job that needed it
- Invoices from other painters you bring onto larger jobs entered as bills on that job, so bought-in labour sits beside the paint and hire for the same address
- Repaint deposits and balance invoices matched as homeowners pay, with deposits handled as your accountant directs
- Brushes, rollers, drop sheets and ladders bought for general use kept separate from job materials, and spread across jobs only if your accountant wants overheads handled that way
- Your business account and card reconciled to each month's statement, with differences chased down to a customer payment still clearing, a docket keyed in wrongly or a bank error you'll need to put to the bank
