QuickBooks bookkeeping for photographers

A photographer can take a wedding retainer long before the date, sell prints through a gallery platform well after the shoot and buy a new lens somewhere in between, so the money rarely lines up with the work. We keep each booking's payments, each platform payout and each gear purchase straight in QuickBooks, and report each kind of photography on its own where your plan allows.

Bookings, galleries and gear in QuickBooks

Money tends to arrive ahead of a shoot and after it, so we keep each booking and each payout tied to the work it came from.

  • Wedding and event retainers matched to the booking they hold and recorded as your accountant specifies, with an up-to-date list of upcoming dates and what each client has paid so far
  • Final balances invoiced before the shoot or after the gallery is delivered, as your contract sets out, then matched as couples and clients pay
  • A class for weddings, another for portraits and another for commercial work, if class tracking is included in your QuickBooks plan, so each kind of photography can be reported on separately
  • Payouts from online gallery and print sales platforms matched to their payout reports, with platform fees and print lab charges recorded as those reports show them
  • Camera bodies, lenses, flashes and drones listed apart from repairs and gear hire, so your accountant can decide how each purchase is treated
  • Receipts from interstate and overseas shoots snapped in the QuickBooks app, which can read receipts in other currencies, and paired in For review with the card charges they belong to
  • Editing, gallery hosting and booking software subscriptions each booked to a separate software account, with the card charges for them checked off each month
  • Monthly reconciliations of your accounts and cards, with anything that doesn't line up put down to a payout still in transit, a wrong entry in QuickBooks or an error for the bank to correct

Photographers' questions about QuickBooks

I take wedding retainers well ahead of the date. Where do they go in QuickBooks?
Each retainer is matched to the couple's booking when it arrives and recorded using the treatment your accountant specifies. Upcoming weddings are listed with the retainer paid and the balance still to invoice, which helps when you plan around the quieter months.
Can QuickBooks show whether portraits or commercial work earn more than weddings?
If your plan includes class tracking, yes. Each kind of work carries its own class, on its income and on costs tied to it, such as second shooters or studio hire. A profit and loss for each class then puts weddings, portraits and commercial work next to each other.
My gallery platform pays out after taking its fees. How do you record that?
From the payout report. The sales are recorded with the platform's fees and any print lab charges as the report sets them out. If a payout differs from its report, we send you the difference to raise with the platform.
I've just bought a new camera body. Do you need anything from me?
The invoice, and whether older gear was sold or traded in. Equipment purchases are kept apart from repairs and hire, and how each purchase is accounted for is your accountant's decision.
I shoot destination weddings. What about receipts in other currencies?
Snap them in the QuickBooks app as you go. It can read receipts in currencies other than Australian dollars, and we match each to the charge on your card statement. Anything we can't place is listed for you when you're home.
