QuickBooks bookkeeping for self-managed rentals

If you manage your rentals yourself, tenants pay straight into your account and the receipts for repairs and upkeep pile up with you. We match that rent to each tenancy in your QuickBooks file, record what each property costs to run and tell you when rent falls short of what the lease sets.

What we record in QuickBooks for a self-managed rental

We work from your bank transactions, leases, bills and receipts, and record rent and costs against the right property.

  • Rent paid by tenants into your account matched to the property and tenancy it came from, using the reference the tenant puts on each payment
  • Rent received compared with what each lease sets out, with missed, late or part payments noted so you can follow them up with the tenant
  • Receipts for repairs, cleaning, gardening and safety checks photographed through the QuickBooks mobile app or forwarded by email, each then paired from the For review tab with the payment it covers
  • Each property given its own class, where your QuickBooks plan includes class tracking, letting rent and running costs be reported property by property
  • Bills from the council, the water authority, your strata or owners corporation and your insurer entered as they arrive, each against its property
  • Loan statements recorded as the lender sets them out, using the treatment your accountant specifies, and any gap between the loan balance in QuickBooks and the statement listed for you
  • Your bank accounts linked to QuickBooks through Open Banking where the bank supports it, then reconciled against their statements, explaining any gap, for example rent that is yet to clear

Rental property owners ask about QuickBooks

I manage my own rentals. How do you know which rent belongs to which property?
From the payment reference and the rent each lease sets. We match each payment to its tenancy, and any payment we can't place comes back to you to identify.
Can you tell me when a tenant falls behind?
Yes. Each month we compare the rent received with what each lease sets out, and you get a list of missed or part payments. Following them up with the tenant stays with you.
How do I get repair receipts to you?
Take a photo with the QuickBooks mobile app, or forward the email to QuickBooks. Each receipt then sits under For review until we pair it with the payment it explains, or create the expense from it, against the right property.
Can QuickBooks keep each property separate?
Yes, if your QuickBooks plan includes class tracking: every property is given a class, and reports run by class show each property's rent and costs. If your plan doesn't include classes, we agree with you and your accountant how the properties are kept apart.
What should I send you, and when?
Your leases when a tenancy starts or changes, plus the bills, receipts and loan statements for each property as they come in. Where bank feeds are connected, rent arrives in QuickBooks by itself, ready to match against each lease.
