QuickBooks bookkeeping for truck drivers and freight businesses

Owner-drivers and small fleets are paid by the load or the run, often through a freight company's remittance or on long customer terms, while tolls, tyres, repairs and finance repayments keep going out. We keep your QuickBooks file current between runs, showing what each customer owes, what each truck costs and what's left to pay on it.

The trucking work we keep current

We follow each load from invoice or remittance to payment, and each truck's costs from receipt to bank statement.

  • Remittances from the freight companies you haul for matched to the runs they pay, with any deductions recorded only as the remittance itemises them
  • Invoices for each load tracked to payment, with late payers picked out on the aged receivables report
  • Income and running costs for every truck marked with a class, for a business whose plan comes with class tracking, so each vehicle can be read on its own
  • A regular contract with a single customer set up as a project, on plans that include projects, so the contract's income and costs can be read in project reports of their own
  • Fuel card, toll and truck loan accounts that don't show up in the bank feed imported from their statement files
  • Receipts for tyres, parts and roadside repairs photographed in the QuickBooks phone app, then paired with the payment or entered as an expense
  • Truck and trailer finance checked against each lender's statement, with what's left to pay on every vehicle kept clear

Not included

Work diaries, maintenance logs and load paperwork stay in your own systems. We record the money side in QuickBooks from the invoices, remittances and statements they lead to.

Truck drivers' questions about QuickBooks

I haul for a freight company that pays me by remittance advice. What do you do with it?
We tie each payment to the runs it covers and record any deductions as the advice itemises them. If a run is missing or a deduction isn't explained, we point it out so you can query it with the company.
Can I see what each truck earns and costs?
Yes, when classes come with your plan. Each invoice, bill and expense carries the truck's class, which lets a class report set every truck's income against its costs.
My fuel card and truck loan don't show up in the bank feed. What happens to them?
QuickBooks connects bank and card accounts through Open Banking, but not every account type is supported yet. Where an account can't connect, we import its transactions from the statement file and reconcile it against the statement like any other account.
What's the easiest way to send receipts from the road?
Take a photo in the QuickBooks app on your phone, or send the receipt to QuickBooks by email. Each receipt then waits for review until we pair it with its payment, or record it as an expense when there's nothing to pair it with.
Customers take a long time to pay. Can QuickBooks show who owes what?
Yes. When each load's invoice is in QuickBooks, the aged receivables report lists each customer's unpaid invoices by how far past due they are. It comes with your monthly reports, so you can see who to chase.
